This Privacy Policy explains how Excelism Techno Solutions Private Limited (“Knolby”, “we”, “us”) collects, uses, discloses and retains personal data in connection with Knolby Studio, the portal through which content creators and reviewers apply to, and work with, Knolby. It applies to applicants, creators and reviewers who access Knolby Studio. Please read it together with our Terms and Conditions.
1. Who we are
Excelism Techno Solutions Private Limited is the data fiduciary responsible for personal data processed through Knolby Studio. Where you are located in a jurisdiction that uses the term “controller”, we act in that capacity.
2. Personal data we collect
We collect the following categories of personal data:

| Correspondence | Messages exchanged with our team through the portal and by email. |
| Technical and usage data | Internet protocol address, device and browser characteristics, pages accessed, and similar information generated automatically when you use the portal. |
We do not knowingly collect personal data from persons under the age of eighteen, and Knolby Studio is not directed at children.
3. Purposes for which we process personal data
We process personal data for the following purposes:
- To create, authenticate and administer your account, and to verify your email address;
- To assess your application and determine your suitability for a creator or reviewer role;
- To assign examinations, subjects and review responsibilities appropriate to your expertise;
- To operate the content creation, review, approval and publication workflow;
- To calculate amounts due to you, to process payouts you request, and to maintain the associated financial records;
- To communicate with you about your application, your assignments and your account;
- To maintain the security and integrity of the platform, and to detect, prevent and investigate fraud or misuse;
- To measure and improve the effectiveness of our recruitment and advertising activity;
- To comply with applicable law and to establish, exercise or defend legal claims.
4. Legal bases for processing
We process personal data on the basis of the consent you provide when you submit your application and create your account; for the performance of, or in preparation for, a contract between you and Knolby; for compliance with our legal obligations; and for our legitimate interests in operating, securing and improving the platform, where those interests are not overridden by your rights. Where our processing relies on consent, you may withdraw that consent at any time as described in Section 8; withdrawal does not affect the lawfulness of processing carried out before withdrawal.
5. Cookies, analytics and advertising
Knolby Studio uses cookies and comparable technologies that are necessary for the portal to function, including for maintaining your authenticated session.
On our publicly accessible pages — our recruitment landing page, this policy, and our sign-in, registration and verification pages — we also operate advertising and measurement technology provided by Meta Platforms, Inc. (the Meta Pixel). This enables us to measure the effectiveness of our recruitment advertising and to report on aggregate outcomes such as how many visitors began or completed an application. Information collected by this technology, which may include your internet protocol address, device characteristics and the pages you viewed, is shared with Meta Platforms, Inc. and processed in accordance with its own privacy terms.
In addition to the technology operating in your browser, we transmit a limited record of certain actions — creating an account, confirming your email address, and submitting your application — directly from our servers to Meta Platforms, Inc. This is done so that our measurement remains accurate where browser-based technology is blocked or unavailable. These server-side transmissions contain the same categories of information described above: your internet protocol address, your browser user-agent, and the identifiers held in Meta’s own cookies. They do not include your name, email address, telephone number, documents, or any other identifier originating from us, in either plain or encrypted form.
We do not operate advertising or measurement technology on the authenticated areas of Knolby Studio. It does not run on the pages where you upload your curriculum vitae or supporting documents, create or review content, or manage your payouts. Where we record the submission of your application as described above, we transmit only the fact that a submission occurred, together with the network information already described — never the contents of your application.
You may restrict cookies through your browser settings, and you may adjust advertising preferences through the settings made available by the relevant advertising provider. Restricting cookies that are necessary for the portal to operate may prevent you from signing in.
6. Disclosure of personal data
We do not sell personal data. We disclose personal data only as follows:
- To service providers engaged to perform functions on our behalf, including application and database hosting, email delivery, file storage, and advertising measurement. Such providers are permitted to process personal data only in accordance with our instructions and for the purposes for which it was disclosed to them.
- To our professional advisers, including legal, accounting and audit advisers, where necessary for the purposes described in this policy.
- To competent authorities where disclosure is required by applicable law, regulation or legal process, or where necessary to establish, exercise or defend legal claims.
- In connection with a corporate transaction, including any merger, acquisition, financing or transfer of all or part of our business, subject to appropriate confidentiality undertakings.
7. Cross-border transfers
Certain of our service providers process personal data outside the country in which you reside. Where personal data is transferred across borders, we take reasonable steps to ensure that it remains subject to appropriate contractual protections and to safeguards consistent with applicable law.
8. Your rights
Subject to applicable law and to verification of your identity, you may:
- Request confirmation of, and access to, the personal data we hold about you and a summary of the processing carried out;
- Request correction of personal data that is inaccurate, incomplete or out of date;
- Request erasure of personal data that is no longer necessary for the purposes for which it was collected, subject to our legal and contractual retention obligations;
- Withdraw consent on which our processing relies, understanding that we may then be unable to continue your application or engagement;
- Nominate another individual to exercise your rights in the event of your death or incapacity, where provided for under applicable law;
- Register a grievance with us, and escalate an unresolved grievance to the competent supervisory authority.

9. Retention
We retain personal data for as long as necessary to fulfil the purposes described in this policy. Where an application is unsuccessful or withdrawn, we retain the associated data only for the period required to administer our recruitment process and to meet our legal obligations. Where you are engaged as a creator or reviewer, we retain records relating to your contributions, entitlements and payments for the longer of the duration of that engagement and any period prescribed by applicable law for financial and tax records. Personal data no longer required is deleted or irreversibly anonymised.
10. Security
We maintain administrative, technical and organisational measures designed to protect personal data against unauthorised access, disclosure, alteration and loss, and we review those measures periodically. Access to personal data is restricted to personnel and service providers who require it for the purposes described in this policy. No method of transmission or storage is entirely secure, and we therefore cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials and for notifying us promptly of any suspected unauthorised use of your account.
